Facility Coordinator (M/F/D) at Kia Italia in Milan, Italy.

The Facility Coordinator is responsible for overseeing and managing all aspects of Kia Italia's general affairs, including facilities management, office administration, and vendor management.

The Facility Coordinator plays an important role in maintaining the efficiency and functionality of Kia Italia's physical infrastructure and in ensuring the functioning of the workplace in compliance with the actual law and administrative processes.

Reporting to the People & Organization Director, the Facility Coordinator collaborates with various departments to ensure smooth operations and a conducive work environment.


Your Mission: 


She/he will be in charge of facility and property management with the following main responsibilities:


1 - General:

  • Responsible contact person to all administration items

  • Purchasing of parts, goods and materials regarding general affairs (e.g. stationary, beverages, coffee machines)

  • Check and coordination of sorting out invoices regarding GA related orders and materials


2 - Facility Management and Real Estate Management:

  • Technical building management:

    • Negotiation and conclusion of essential contracts regarding facility maintenance (e.g. ventilation, cooling, heating, doors, elevators, electronical equipment)

    • Vendor management and maintenance program management

    • Planning and decision of building repair

  • Infrastructural building management:

    • Negotiation, conclusion and quality management of essential contracts/ outsourced support regarding security, receptionists, housekeeping, cleaning, catering

    • Planning of work place equipment

  • Commercial building management

    • Being the contact person to tenants

    • Lease contract management

    • Yearly accounting of service charges

    • Negotiation and conclusion of essential insurances (building liability, public liability, electronical equipment, facilities, accidents)

    • Negotiation and conclusion of contracts regarding service / delivery of beverages and stationary

3 - Energy & Utilities Management:

  • Energy providers and contract management

  • Energy diagnosis

4 - Travel management:

  • Selection and management of the travel agency

  • Company referent for the related training and issue

5 - Insurance company program: coverages related to company buildings, injuries, All Risks, Travel etc.:

  • Tender for Insurance broker

  • Company referent for the managed coverages

  • Proposal of potential savings and new opportunities

6 - Mobility Management:

  • Management of consultants and providers

  • Collection of data and information from employees

  • Documentation drafting and reviewing

7 - Budget:

  • Define the year BDG

  • Periodical checking with the Company controller

  • Invoices management

8 - CSR activities dedicated to employees

9 - Violation / Fines management

10 - Agreement with other companies to grant Kia Italia’s employees better conditions

11 - GDPR: management of the privacy issue



Your Talents:

  • University degree in Engineering or other relevant degree

  • Previous experience in similar roles

  • Italian and English: fluent, spoken and written

  • MS-office proficient

  • Regulatory, real estate and financial knowledge

  • Able to think out of the box and find effective solutions

  • People management and team working skills

  • Operational leadership and efficiency


The ideal candidate is comfortable in working in cross cultural environment and s/he shows a desire to improve the status quo with a positive “can do” attitude and enthusiasm for the automotive market.

Strongly goal-oriented, s/he has team working, communication, public speaking, reliability and organizational skills with good negotiation ability.


Contractual grade: First Level CCNL or above.
